These Terms & Conditions govern the use of the KOA Expeditions website and requests for travel planning, tours, itineraries and related tourism services.

1. ABOUT KOA EXPEDITIONS
KOA Expeditions is a travel planning and tourism service based in Cusco, Peru.
We design and coordinate travel experiences in Peru according to the traveler's requested dates, interests, preferences and availability of the services involved.

Travel conditions can nevertheless change because of weather, access rules, government regulations, permits, transportation conditions, attraction policies, supplier availability or other circumstances outside the website's control.

3. TRAVEL REQUESTS AND QUOTATIONS
Submitting a Contact Us form, Plan My Trip request, email, WhatsApp message or other enquiry does not by itself create a confirmed booking.
A trip becomes confirmed only when KOA Expeditions provides written confirmation and any requirements stated in the corresponding proposal have been fulfilled.
Each quotation may specify:
- itinerary
- dates
- services included and excluded
- accommodation where applicable
- transportation
- entrance tickets or permits
- traveler information
- price
- payment conditions
- cancellation conditions
- special requirements
The confirmed proposal and any trip-specific conditions form part of the agreement for that booking.
4. PRICES AND PAYMENTS
Only prices expressly confirmed by KOA Expeditions should be treated as valid for a booking.
Prices shown online are displayed only where KOA has verified them for public use.
A personalized quotation may differ according to travel dates, availability, group size, accommodation, permits, transportation, exchange conditions, supplier rates and requested customizations.
Payment amount, schedule and method will be specified in the applicable quotation or written booking confirmation.
No payment condition should be assumed when it has not been expressly stated in the confirmed proposal.
5. AVAILABILITY
Availability is not guaranteed until the booking has been confirmed.
Some services depend on limited capacity or external systems, including:
- Machu Picchu entrance tickets
- trekking permits
- train services
- flights
- hotels
- transport providers
- protected-area access
- attraction schedules
KOA Expeditions will communicate material availability issues identified while processing a booking.
6. TRAVELER INFORMATION
Travelers are responsible for providing complete and accurate information required to arrange their services.
This may include, where applicable:
- full name
- nationality
- passport or identification details
- date of birth
- travel dates
- contact information
- dietary requirements
- relevant accessibility or mobility requirements
- other information reasonably required for the requested service
Incorrect or incomplete traveler information may affect reservations, permits, tickets or supplier services.
7. TRAVEL DOCUMENTS AND ENTRY REQUIREMENTS
Travelers are responsible for holding the documentation required for their journey, including passports, visas or other entry documents where applicable.
KOA Expeditions may provide practical travel information, but the traveler remains responsible for complying with current immigration and travel requirements.
8. THIRD-PARTY SERVICES
Some components of a trip may be provided by independent suppliers such as hotels, transport companies, rail operators, airlines, guides, attractions, restaurants or public/private ticketing systems.
KOA Expeditions coordinates these services as part of the confirmed itinerary where applicable.
Supplier-specific conditions may apply and will be communicated when they materially affect the booking.
9. CHANGES TO SERVICES
Travel arrangements may occasionally need to change because of weather, road conditions, safety concerns, government decisions, attraction closures, supplier disruptions, force majeure or other circumstances outside reasonable control.
When this occurs, KOA Expeditions will make reasonable efforts to provide an appropriate alternative or communicate the available options.
10. CANCELLATIONS AND REFUNDS
Cancellation and refund matters are governed by the applicable booking confirmation and the KOA Expeditions Cancellation & Refund Policy:
Third-party services may carry separate non-refundable or change-restricted conditions.
11. RESPONSIBLE USE OF THE WEBSITE
Users must not misuse this website, interfere with its operation, attempt unauthorized access, submit abusive automated traffic, or use the forms for fraudulent or unlawful purposes.
